An annual refresh can update approved records, providers, equipment, procedures, and recurring schedules. It is separately scoped and is not included in the initial engagement. Private Estate OS software access is also separate.

The engagement

Five controlled stages from scope to handoff.

Target delivery is approximately 30 days after kickoff and receipt of the agreed access and records. Complex or multi-residence work uses a custom schedule.

    Private scoping call

    Confirm authority, residence count, operating complexity, information sources, timeline, and whether the service is the right fit.

  2. 02

    Written agreement

    Define the exact residence, onsite days, interviews, records, revisions, secure transfer method, retention, exclusions, fee, and schedule.

  3. 03

    Walkthrough and records

    Review only the agreed spaces and client-authorized operating records, then interview approved managers or staff.

  4. 04

    Build and verify

    Organize the manual, mark missing or unverified information, and ask the authorized client to confirm the working content.

  5. 05

    Delivery and handoff

    Deliver the structured digital manual and approved export, orient the property team, and complete the contracted correction window.

Choose the right service

The Review finds the gaps. The Manual organizes the approved information.

A Property Operations Review focuses on risks, missing information, and priorities. A Private Property Manual turns approved operating information into a working reference. One may precede the other, but neither automatically includes the other.

Sensitive information we do not request for the manual

Passwords, alarm codes, access or gate codes, safe combinations, keys, camera or alarm locations, floorplans or security layouts, sensitive itineraries, identity documents, medical records, and financial records.

Do not send records through the public form or ordinary email. If there is a fit, the signed agreement defines the secure transfer, retention, and deletion process. The client must have authority to provide staff or provider information; business contacts should be used.
